Comprehensive Email Agent and Ordering System Implementation
Introduction
Happy Endings approached us with the goal of streamlining their wholesale order processing, delivery tracking, and invoicing systems. Previously, these operations were spread across various tools and processes, making it difficult to manage data efficiently and requiring costly ongoing payments to external services. We designed and implemented a custom system that consolidates their operations into a single, user-friendly solution built on Airtable with Make.com as the backend, connecting seamlessly to their WordPress site.
Project Scope and Key Components
Email Agent
We developed a dedicated email agent for Happy Endings to manage order confirmations, delivery updates, and invoicing notifications. This agent ensures all communications with customers are timely and consistent, enhancing their overall service experience.
Ordering System on Airtable
Using Airtable, we created a centralized ordering system to manage all incoming wholesale orders. Integrated with Happy Endings’ WordPress site, this system enables the team to view and process orders directly from the database, simplifying their order management workflow.
Backend Automations with Make.com
Make.com serves as the backend infrastructure that powers the entire system. It connects the WordPress site with Airtable, ensuring that new orders flow smoothly into the system for processing, tracking, and invoicing without any manual input.
Delivery and Billing Integration
- Track-POD Integration: We integrated Track-POD for real-time delivery tracking, allowing Happy Endings to view delivery statuses directly in Airtable. This feature provides visibility into the entire delivery process, ensuring timely and accurate customer communication.
- Xero Integration: For invoicing, we connected Airtable to Xero, allowing Happy Endings to automate invoice generation for each order. With this setup, their billing information is automatically updated in Xero, reducing the need for manual data entry.
